After the load

Recording completed loads

An analysis is an estimate. Recording what happened lets you see how close it was, tracks what negotiating has earned you, and builds the broker, lane and reload history KRYSTAL shows you later.

1. Booked or passed: the Value Meter

Right after the call, open Value Meter, pick the load, and record:

  • whether you booked it, passed, it was cancelled, or it's still pending;
  • the main reason, such as met my numbers, repositioning, good broker, or rate too low;
  • the counter you actually asked for, if any;
  • the final booked rate.

The Value Meter compares the booked rate with the original offer on the same basis and adds up what negotiating has earned across your loads. A suggested counter is never counted; only a booked load with a final rate is.

Lower on the same page, Invoiced & Paid lets you mark when each booked load was invoiced and paid, and how much came in.

2. What it really paid and cost: Record Outcome

Once the load is delivered and paid, open Record Outcome, pick the load, and enter:

  • Actual revenue collected, including any detention or accessorials paid;
  • Actual fuel cost, tolls and other costs such as lumpers, repairs on the road and parking;
  • Actual wait or detention hours and total trip hours;
  • Final net profit: what you actually kept after every real cost. This is the number every accuracy comparison is measured against, so work it out the way you work out your own books;
  • Days to pay (leave 0 if payment is still pending);
  • whether you found a reload out of the delivery area and how many hours it took;
  • any pickup or delivery problems and lessons learned.

The form starts with KRYSTAL's estimates filled in. Change each one to the real figure.

3. Comparing estimate with result

Your Member Profile has a Prediction vs. Actual section. It compares each saved prediction with what you recorded and shows how close KRYSTAL has been on revenue, profit, costs and trip time, as accuracy and as dollar and hour differences. The weekly summary, emailed on Monday mornings after a week in which you analyzed a load, includes the week's comparison. Every one of those emails has an unsubscribe link.

When they differ, the usual reasons are extra miles, a different diesel price, longer waits, detention paid or unpaid, and deductions. A worked example of estimate against settlement.

4. Correcting an entry

On Record Outcome, choose Correct a previously recorded outcome, pick the load, and save the right figures. The correction replaces the earlier entry for that load; it never creates a second one, so totals don't double count. On the Value Meter, recording the same load again updates it the same way.

What your records are used for

  • Your history with a broker (after 3 completed loads with them), your lane scores and your reload odds by state. How each is built.
  • The KRYSTAL Index on each new report: a 0 to 100 score with reasons. Once you have at least 8 completed outcomes, it starts adjusting how much each factor counts, based on how your past loads really turned out. It gains full strength at 75. It doesn't change your costs, your counter or the BOOK, NEGOTIATE or PASS verdict.

Your records are used for your account only. They're never pooled with other members'.
